Privacy Policy

Last updated: May 28, 2025

This Privacy Policy describes how Skyward Techno ("we," "us," or "our") collects, uses, and protects your personal data when you use our website, mobile applications (Skyward CRM and Skyward ERP apps for iOS and Android), and related services. By using our services, you agree to the practices described in this policy.

1. Information We Collect

a) Information You Provide: We collect information you provide directly to us, such as when you fill out a contact form, request a demo, subscribe to our newsletter, create an account, or communicate with us. This may include your name, email address, company name, phone number, job title, and any other information you choose to provide.

b) Information Collected Automatically (Website): When you visit our website, we automatically collect certain information including your IP address, browser type and version, operating system, referring URLs, pages visited, time spent on pages, and other usage statistics.

c) Information Collected Through Mobile Applications: When you use our mobile apps, we may collect:

  • Device information: Device model, operating system version, unique device identifiers, mobile network information, and app version
  • Location data: Precise location (GPS/GNSS), approximate location (IP-based, Wi-Fi, cell tower) — see Section 2 for full details
  • Usage data: Features used, interaction timestamps, screens viewed, crash reports, and performance diagnostics
  • Camera and storage access: Photos or documents you capture within the app for field service documentation, proof of delivery, or document scanning

2. Location Data

Our mobile applications collect and process location data to provide core business features. This section explains what location data we collect, why we collect it, and how you can control it.

a) What Location Data We Collect:

  • Precise location (GPS/GNSS): Collected when the app is in active use and location-dependent features are enabled
  • Approximate location: Derived from IP address, Wi-Fi access points, or cell tower data
  • Background location: Collected only when explicitly enabled by the user or their organization's administrator for specific features such as fleet tracking or field service management

b) Why We Collect Location Data:

  • Field service tracking: Recording technician and sales representative locations during client visits and service calls
  • Attendance and check-in verification: Geofenced attendance for employees using mobile clock-in/clock-out
  • Fleet management: Real-time GPS tracking of vehicles and delivery assets
  • Route optimization: Calculating efficient routes for field teams and deliveries
  • Shipment and delivery tracking: Proof of delivery with location and timestamp
  • Location-based analytics: Generating territory reports, coverage maps, and regional performance dashboards

c) When Location Is Collected: Location data is collected in the foreground by default — only while you are actively using location-dependent features in the app. Background location collection is not enabled by default and is only activated when explicitly configured by the user or their organization's administrator for features such as fleet tracking or continuous field service monitoring.

d) How to Control Location Data:

  • You can disable location permissions at any time through your device settings (iOS: Settings > Privacy & Security > Location Services; Android: Settings > Apps > Permissions)
  • Organization administrators can configure which location features are enabled or disabled through the admin console
  • Disabling location permissions may limit the functionality of features that rely on location data, such as field check-ins, route optimization, and fleet tracking

e) Location Data Retention: Location data is retained for the period configured by your organization's administrator, with a default retention period of 90 days. Anonymized and aggregated location data may be retained longer for analytics and reporting purposes. You may request deletion of your location data by contacting us or through your organization's administrator.

3. Mobile Application Data

In addition to location data described above, our mobile applications may collect and process the following:

  • Push notification tokens: To deliver real-time alerts, task assignments, and updates. You can manage notification preferences in your device settings and within the app
  • Device identifiers: Used for authentication, security, session management, and preventing unauthorized access
  • Offline data and sync: The app may store data locally on your device for offline use and synchronize it with our servers when connectivity is restored
  • Camera access: Used for document scanning, capturing field photos, proof of delivery, and other business documentation. Photos are uploaded only when you initiate the action
  • Biometric authentication: If enabled, fingerprint or face recognition data is processed entirely on your device by the operating system and is never transmitted to or stored on our servers

4. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our website, mobile applications, and enterprise software products
  • Deliver location-based features as described in Section 2
  • Communicate with you about products, services, and support
  • Respond to your inquiries and send technical notices

5. Third-Party Services and SDKs

Our mobile applications may integrate third-party software development kits (SDKs) and services that collect data on our behalf or for their own purposes. These may include:

  • Analytics services (e.g., Google Analytics, Firebase Analytics) — collect device information, usage data, and app interaction patterns
  • Crash reporting services (e.g., Firebase Crashlytics) — collect crash logs, device state, and diagnostic data
  • Mapping and location services (e.g., Google Maps SDK) — process location data to render maps, calculate routes, and provide geocoding
  • Push notification services (e.g., Firebase Cloud Messaging, Apple Push Notification Service) — deliver notifications using device tokens

These third-party services operate under their own privacy policies. We encourage you to review their respective privacy practices.

6. Information Sharing

We do not sell your personal information, including location data, to third parties. We may share your information in the following circumstances:

  • Third-party SDKs: As described in Section 5, certain data may be processed by third-party SDK providers
  • Your organization: If you use our apps through an enterprise account, your organization's administrators may access your usage data and location data as configured in the admin console
  • Legal compliance: When required by law, legal process, or government request
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users
  • Protection of rights: To protect the rights, property, or safety of Skyward Techno, our users, or the public

7. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Mobile app data stored in encrypted local storage on your device
  • Access controls and role-based permissions
  • Automatic session timeout and secure authentication
  • Regular security assessments and vulnerability testing

  • Location data: Default retention of 90 days, configurable by your organization's administrator
  • Account data: Retained for the duration of your active account and for a reasonable period afterward for legal and business purposes
  • Aggregated and anonymized data: May be retained indefinitely for analytics and product improvement

Upon verified request, we will delete your personal data subject to any legal retention obligations.
